Terms of Service

Effective October 2026. The agreement between you and RankAutomatic, in plain English.

1. These terms

These terms are an agreement between you and CouncilSoft Inc., Holland, PA 18966 (“RankAutomatic”, “we”, “us”). They cover the RankAutomatic website, app, free audit, Citation Builder and WordPress plugin (together, the “Service”). By creating an account, placing an order or using the Service, you agree to them. If you use the Service for a business or an agency, you confirm you can agree for it, and “you” means that business or agency.

RankAutomatic is a service of CouncilSoft Inc.

Our Privacy Policy explains how we handle personal information. You must be at least 18 and use the Service for business purposes.

2. What the Service does

RankAutomatic does local SEO work for you, with your approval. Depending on your plan it can:

  • audit your website and Google Business Profile (GBP) and rank the fixes;
  • draft GBP posts, review replies and profile changes, and publish the ones you approve;
  • write articles and local pages with AI and publish them to your website;
  • propose website fixes and apply the ones you approve through our WordPress plugin;
  • track your rankings in search and on Google Maps, check how AI assistants answer about businesses like yours, and send monthly reports;
  • track your business directory listings, and sell one-time Citation Builder orders carried out by our citation partner;
  • give agencies client workspaces, client logins and white-label reports.

The free audit and other free tools are offered as they are, and their figures are estimates. We may improve, change or retire features. If we remove something central to a paid plan, we will tell you first.

3. Accounts, workspaces and roles

Give us accurate details and keep your login safe; you are responsible for what happens under your account. The account owner decides who else gets access and with which role (for example owner, manager, staff, or a client login limited to certain sites). Everyone you add must follow these terms, and you are responsible for what they do in your account. Tell us at once if you think someone has used your account without permission.

4. You approve, we run it

  • By default, nothing is published to your GBP, website or other connected platform until someone on your account approves it.
  • Autopilot is opt-in, per channel and per location. When you switch it on, we publish the drafts it covers without asking each time, within the checks described in the app (for example, quality and similarity checks). You can switch it off at any time.
  • You are responsible for what you approve and for what autopilot publishes under the settings you chose, including whether it is accurate and lawful for your business.
  • Website fixes made through our plugin record what was there before so they can be undone, but you should keep your own backups of your website.

5. AI-generated content

Drafts are written by AI models and may contain mistakes, out-of-date facts or wording that does not fit your business. Read each draft before you approve it, especially prices, medical, legal or financial claims, and anything about other businesses. Every draft records which AI model wrote it. As between you and us, you own the content we create for you once it is published, subject to the AI providers' terms. Similar businesses may receive similar ideas or phrasing.

No one can promise search rankings or AI recommendations. We do not guarantee any ranking, traffic, lead or review result.

6. Your content and data

You keep ownership of everything you give us and everything we create for you. You give us permission to host, copy, change and publish it only as needed to run the Service for you. You confirm you have the rights to the material you give us, such as logos, photos and text. We may use aggregated figures that do not identify you or your customers to improve the Service (for example, which directories keep listings live).

7. Google, Meta, WordPress and other platforms

When you connect a platform, you let us act in it within the permissions you grant, and you can disconnect at any time. Your use of each platform is also governed by its own terms and policies, including the Google Business Profile guidelines, Google's terms for Search Console, Meta's terms, and the terms of your website host and plugins. We do not control these platforms. They can change their rules, limit their APIs, reject or remove content, or suspend a listing, and we are not responsible for their decisions. Facebook and Instagram posting is coming soon and is not part of any plan until we announce it.

Our WordPress plugin is licensed to you for use with the Service while your account is active. It changes only what you approve or switch on autopilot for, never your checkout, cart, account, login or legal pages, and it can undo its own changes.

8. Fees and billing

  • Plans are month to month and billed monthly in advance through Stripe. Prices are on our pricing page and are in US dollars unless shown otherwise. Taxes may be added where they apply.
  • Solo, Pro and National can be self-serve, or done for you at the done-for-you price, where our team reviews and approves drafts for you.
  • Extra GBP locations and additional agency clients you add are billed on your plan as a prorated line.
  • If a payment fails, we pause the work we do for you until the account is paid up.
  • We may change prices for future billing periods. We will tell you before a change reaches your bill, and you can cancel before it does.

9. No contract, cancel anytime, 14-day money-back

There is no minimum term. You can cancel your plan at any time from Settings, Billing. Cancellation takes effect at the end of the billing period you have paid for, and we do not refund partial periods except under the guarantee below.

14-day money-back guarantee. If RankAutomatic isn't right for you, contact us within 14 days of your first payment for a plan and we will refund that payment in full. The guarantee covers your first subscription payment; Citation Builder orders follow section 10.

After you cancel, your GBP, your website and the articles we published on it stay yours. What happens to your workspace data is set out in our Privacy Policy.

10. Citation Builder orders

  • A Citation Builder order is a one-time purchase ($249 one-time per GBP location unless shown otherwise; the Pro plan, and the Solo plan done for you, include one order per account). It is one build of 300+ listings, not a monthly service.
  • Our citation partner, an independent provider, submits the listings by hand using the details you give us. You confirm those details are accurate and that you may list the business.
  • Each directory decides whether to publish a listing and how long to keep it. We check the listings at delivery and again at 30 and 90 days, but we cannot guarantee that every listing goes live or stays live.
  • The logins created for your listings are yours. We store them encrypted and show them only to people on your account with permission and to the staff who handle your order.
  • If you ask before we place the order with our citation partner, we refund it in full. After that, we refund at our discretion, for example when we cannot deliver the order.
  • If an order is refunded, work on it stops and so do its scheduled checks. Listings already submitted stay where they are, and the logins already handed to you stay yours.

11. Agencies and white-label resale

  • Agency pricing is for businesses that manage local SEO for their own clients. We may move an account that doesn't to the matching business plan.
  • On the Agency plan you may resell the Service to your clients under your own brand and set your own prices. Your clients have no contract with us; you are responsible for your agreements with them and for their use of the Service.
  • Before you connect a client's GBP, website or other account, you must have the client's permission to manage it on their behalf.
  • White-label branding (your name, logo, colours and sender name) must be yours or used with permission. Emails we send for you, such as free-audit reports to your leads, carry your name but come from our sending address.
  • You are responsible for following email and privacy laws when you contact leads and clients, including getting any consent they require.
  • We do not contact your clients to sell them anything. If your agency account stops paying or is closed, the work for your clients pauses with it.

12. Acceptable use

You agree not to use the Service to:

  • post fake reviews, buy or trade reviews, review your own business or a competitor's, or offer incentives for reviews where the platform forbids it;
  • gate reviews, meaning asking only happy customers for reviews or steering unhappy customers away from posting one;
  • publish false or misleading information about your business, such as fake locations, invented credentials or keyword-stuffed business names;
  • send spam, or use the Service to email people who have not agreed to hear from you where the law requires consent;
  • buy, sell or exchange links, or join link networks. We support earned links only;
  • manage a business, listing or website you are not authorized to manage;
  • break the law, infringe anyone's rights, or publish hateful, sexual or harmful content;
  • probe, overload, scrape, copy or reverse engineer the Service, or get around its limits or security.

We may remove content or pause automated work that breaks these rules or a platform's rules.

13. Suspension and termination

We may suspend or close an account that breaks these terms, puts other users or platforms at risk, or is not paid. Where we reasonably can, we will warn you first and give you time to fix the problem. You may stop using the Service at any time. Sections that by their nature should last after the agreement ends (such as payment, ownership, disclaimers and limits of liability) continue to apply.

14. Our property

The Service, including the app, the plugin, our methods and our brand, belongs to us and our licensors. These terms give you the right to use it while your account is active and nothing more. If you send us feedback, we may use it without owing you anything.

15. Disclaimer

The Service is provided “as is” and “as available”. To the extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not promise that the Service will be uninterrupted or error-free, or that any data from third parties (such as search volumes, rankings or AI answers) is complete or accurate.

16. Limitation of liability

To the extent the law allows, neither of us is liable to the other for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Our total liability for all claims relating to the Service is limited to the amount you paid us in the 12 months before the event that gave rise to the claim. These limits do not apply to your payment obligations or to liability that cannot be limited by law.

17. Indemnity

You will defend and indemnify us against third-party claims arising from content you approve or ask us to publish, from your breach of these terms or a platform's rules, or, for agencies, from your dealings with your clients and leads.

18. Governing law and disputes

These terms are governed by the laws of the State of Pennsylvania, United States, without regard to conflict-of-law rules. Any dispute will be heard in the state or federal courts located in Pennsylvania, and both of us agree to their jurisdiction, unless the law where you live gives you the right to bring a claim elsewhere.

19. Changes to these terms

We will post any change on this page and update the effective date. If a change is significant, we will tell account owners in the app or by email at least 14 days before it takes effect. Using the Service after that date means you accept the new terms.

20. General

These terms and the Privacy Policy are the whole agreement between us about the Service. If a part of them cannot be enforced, the rest still applies. Not enforcing a right is not a waiver of it. You may not transfer this agreement without our consent; we may transfer it as part of a merger or sale of our business. Neither of us is responsible for delays caused by events outside our reasonable control.
